SUMMARY

Under general supervision, plans, coordinates, performs and supervises administrative and financial operations for the High School and its administrative team.

Essential duties and responsibilities may include, but are not limited to, the following :

 

  • Provides clerical, budget and managerial support to the principal and administrative team; evaluates issues, identifies priorities, and develops solutions; works independently, and makes appropriate decisions based on experience; performs work within scope of authority and training.
  • Provides information and assistance to stakeholders; answers questions and resolves issues within scope of authority, using knowledge of MPS and department policies and procedures; researches information requests, and responds independently to inquiries when appropriate.
  • Manages and coordinates school’s administrative duties; oversees budget and expenditures; oversees grant programs and prepares grant reports; processes invoices, purchase requests, contracts, expense reimbursements, special requests, leave requests and payroll.
  • Supervises and trains assigned staff, monitors staff compliance with departmental policies, and cross trains the work of clerical and support staff.
  • Supports the administrative team by performing confidential and complex clerical accounting tasks, including monitoring budgets and expenditures, balancing accounts, processing purchase orders and payments, maintaining position control, grant fund accounting, reconciling bank statements, journal entries and corrections, processing employee timesheets and payroll information.
  • Coordinates Volunteer workforce: interviews, screens and assigns volunteers in a way that supports teacher and classroom needs and requests; manages and coordinates all volunteers in the school and the corresponding database; acts as the direct liaison with the district volunteer coordinator; oversees appropriate background checks; manages and directs volunteer recognition program; works directly with teachers to ensure credit is applied.
  • Develops, implements and administers grants: researches relevant building needs and search for applicable grants; applies for grants and oversees their implementation, application and summarization.
  • Oversees efforts of Student Teaching Assistant: assists student teaching coordinator with the organizational and operational aspects of the program; collaborates with coordinator on appropriate placements; assists as liaison with participating student teachers and college coordinators.
  • Oversees efforts of Testing Coordinator Assistant: works with the testing coordinator to extrapolate data, apply in spreadsheet form, and interpret with administrative team.
  • Manages Orientation functions: manages and coordinates orientation for new students by collaborating with staff and outside resources to ensure a quality orientation experience for students; works with administrative team to transition teachers to MPS and the school.

 

 

 

ESSENTIAL FUNCTIONS: (continued)

  • Site Council Manager: assists the principal with managing the Site Council agendas, meetings and documentation of activities; provides customer service; responds to requests for information, and attempts to resolve them by researching files and records within the scope of authority; updates, retrieves and releases information according to procedures; refers matters requiring policy interpretation to supervisor for resolution.
  • Supports the relationship between MPS and the community by demonstrating courteous and cooperative behavior when interacting with students, clients, visitors, and MPS staff; acts in a manner that promotes a harmonious and effective workplace environment.
  • Enthusiastically promotes the Superintendent’s goals and priorities in compliance with all policies and procedures.
  • Maintains absolute confidentiality of work-related issues, records and MPS information.

 

MINIMUM QUALIFICATIONS

Education, Training and Experience Guidelines

Associate’s Degree in Business or Public Administration, or related field; AND three (3) years of administrative support experience, preferably with MPS; OR an equivalent combination of education, training and experience as determined by Human Resources.

 

Knowledge of:
  • Applicable state and Federal rules and regulations governing public education.
  • MPS administration policies, including accounting, budgeting, and personnel rules.
  • Business and personal computers, and spreadsheet software applications.
  • Customer service standards and protocols.
  • Principles of record keeping, records retention, records management, and file maintenance.
  • Local community resources and regional community issues.

 

Skill in:

  • Analyzing administrative issues, interpreting laws and regulations, and recommending solutions.
  • Using initiative and independent judgment within established procedural guidelines.
  • Researching, collecting, analyzing, and preparing data; and generating reports.
  • Responding professionally, effectively and efficiently to customer service requests.
  • Establishing and maintaining effective working relationships with co-workers and clients.
  • Operating a personal computer utilizing specialized software, and entering information into a computer system with speed and accuracy.
  • Communicating effectively verbally and in writing.

 

LICENSE AND CERTIFICATION REQUIREMENTS

A valid Minnesota State Driver’s License may be required.

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage.
